Privacy Policy

Information you provide. When you book a free trial or diagnostic, enroll, or contact us, we collect details such as parent/guardian and student names, email address, phone number, student grade and school, program interests, and anything you include in messages to us.

Payment information. Payments are processed securely by our payment provider, Stripe. Card and bank details are entered directly with Stripe; we never see or store full card or bank-account numbers.

Automatically collected information. Like most websites, we collect basic technical data such as IP address, browser type, and pages visited, through cookies and similar technologies, to keep the site secure and understand how it is used.

AI Tutor sessions. If a student uses the AI Tutor on the Unik platform, the session is a live video and voice conversation. During the session, the student’s camera image and spoken words are processed in real time so the tutor can see and hear them and respond. We do not record or keep the video or the audio. Neither the video nor the audio is stored after the session ends. What we do keep is a written transcript of the conversation, together with which assignment it related to, the date, and how long it lasted, so the student’s teacher can see what they found difficult and follow up in class. We do not create a faceprint, voiceprint, or any other biometric identifier, and we do not use the student’s image or voice to identify them.

We use the information we collect to:

• schedule assessments, trials, and classes, and deliver our programs;
• process enrollments, payments, and refunds;
• communicate with you about scheduling, billing, progress, and program updates;
• personalize each student’s learning plan and track progress on the Unik platform;
• improve our services, and keep our site and accounts secure.

We do not sell your personal information.

We share information only as needed to run our services — for example, with service providers who process payments (Stripe), send email on our behalf, or host our systems — and only to the extent necessary for them to perform those services. We may also disclose information if required by law or to protect the safety and rights of students, families, or our staff. We do not share your information with advertisers to sell you products.

AI Tutor providers. The AI Tutor is delivered using third-party technology providers who process the live video and voice during a session, and convert speech to text, strictly on our instructions and only to make the session work. These providers are contractually prohibited from using a student’s voice, image, or conversation to train their own models, and from using it for any purpose other than providing the service to us. They are service providers (and, under California law, “service providers” rather than recipients of a sale or share).

We serve K-12 students, so most of our students are children. Accounts and enrollments are created and controlled by a parent or legal guardian, who decides what information is shared with us. We collect a student’s information only as needed to provide our educational services, and we never knowingly use it for advertising.

Parental consent (COPPA). For children under 13, the U.S. Children’s Online Privacy Protection Act (COPPA) applies. We collect personal information from a child under 13 only with verifiable parental consent, which we obtain from the enrolling parent or guardian at sign-up, and we collect only what is reasonably necessary to deliver the service. We do not require a child to disclose more than is reasonably necessary to participate.

What we collect on the Unik platform. To deliver and personalize instruction, a student’s account may include their name, grade, coursework, assignments, assessment results, and progress data. This information is used only to provide, personalize, and improve the student’s learning — not for third-party advertising.

Parental rights. At any time, a parent or guardian may review the personal information we have collected from their child, ask us to stop collecting or using it, and request its deletion, by contacting us. We will honor these requests as required by law.

The AI Tutor is for students aged 13 and older. We do not make the AI Tutor available to children under 13. A student under 13 can use every other part of our programs and the Unik platform; the live video tutor is simply switched off for them. A parent or guardian of a student aged 13 or older may ask us to switch the AI Tutor off for their child at any time, for any reason, by emailing us — their classes and coursework are unaffected.

Biometric information. We want to be precise about this, because the words matter. During an AI Tutor session the student’s camera image and voice are processed so the tutor can respond in the moment. We do not extract, derive, or store a faceprint, voiceprint, face geometry, or any other biometric identifier or biometric information, we do not use these to identify anyone, and we do not sell, lease, trade, or otherwise profit from them. The video and audio are not retained after the session. Where state biometric privacy laws apply to this processing — including the Illinois Biometric Information Privacy Act, the Texas Capture or Use of Biometric Identifier Act, and the Washington biometric privacy law — we obtain the consent those laws require before a student’s first session, and we would destroy any biometric data no later than the end of the session in which it was processed.

Student records (FERPA-aligned practice). We are a private tutoring provider rather than a school, so FERPA does not directly govern us. Where we hold student work, assessment results, or AI Tutor transcripts, we treat them as confidential education records: they are used to teach your child, shared only with the staff teaching them, and never sold or used for advertising.

California student data (SOPIPA / AB 1584). For students in California, we do not use student information to engage in targeted advertising, do not build a profile of a student except for the student’s own educational purposes, do not sell student information, and do not disclose it except as permitted by law. A parent or guardian may review their child’s information and ask us to correct or delete it.

California minors (CPRA/CCPA). We do not sell or share the personal information of any student, and in particular we do not sell or share the personal information of a California consumer under 16 — for a child under 13, the parent or guardian must opt in; for a minor 13–15, the minor must opt in — but we do not sell or share it in any case.

Our sign-up, free trial, assessment, and contact forms have two separate, optional boxes. Ticking the first means you consent to receive informational text messages from Prepaze Academy at the mobile number you gave us — about your inquiry, classes, scheduling, and account. Ticking the second means you also consent to promotional texts about programs, events, and offers. You can tick either, both, or neither. The boxes are never pre-ticked, and consent is not a condition of purchase: you can enroll, book an assessment, and reach us without ever agreeing to texts.

Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also ask us to stop by emailing contact@prepazeacademy.com. Opting out of texts does not affect your enrollment, and we will still contact you by email or phone about scheduling and billing where we need to.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

We share your mobile number only with the messaging provider that delivers the texts on our behalf, and only so they can deliver them. We keep a record of the consent itself — the exact wording you agreed to, the date and time, and the number — because we are required to be able to show it.

We keep personal information for as long as needed to provide our services and to meet legal, tax, and accounting requirements, then delete or de-identify it. We use reasonable administrative, technical, and physical safeguards to protect your information, though no method of transmission or storage is completely secure.

AI Tutor sessions specifically. The video and audio of a session are not recorded and are gone when the session ends. The written transcript is kept for the duration of the student’s enrollment plus twelve months, so a teacher can look back across a term, and is then deleted. A parent or guardian may ask us to delete their child’s transcripts sooner, at any time.

You may request access to, correction of, or deletion of your personal information, and you may opt out of non-essential marketing emails at any time using the unsubscribe link or by contacting us. You can also control cookies through your browser settings.

We may update this policy from time to time. When we do, we will revise the “last updated” date above, and significant changes will be communicated where appropriate.
